About the Role

You'll support the two founders and the senior team day-to-day, run our London office, and make sure the practical details are handled with calm competence. You'll take ownership of events and partner touchpoints, look after HR administration, recruitment and onboarding, and coordinate Ovation's external communications and social presence.


We're looking for someone who loves theatre, but who is equally energised by organisation, clarity, and getting things done properly. Someone who takes real pride in excellent administration, good judgement, and simple, elegant execution.


This is a growth role within a highly ambitious business. We expect everyone at Ovation to take on more responsibility over time and to grow with the company as we scale. The right person will help shape how we work, not just support it.

Requirements

Executive Support & Team Enablement

• Provide high-quality EA support to two founders and senior leadership: diary management, travel booking, meeting briefs, note-taking, action tracking and follow-up

• Anticipate needs; proactively clear blockers and pick up administrative tasks that increase the team's collective output

• Manage complex scheduling across multiple time zones and prepare succinct briefing notes

• Coordinate founder priorities to ensure smooth delivery

• Plan and deliver Ovation events: private showcases, partner dinners, industry meetups and ad hoc hospitality for visiting partners


Office Management

• Own the London office and people experience: facilities, vendors, IT liaison, onboarding and offboarding, HR admin and liaison and contractor management

• Create an office environment that reflects Ovation's standards

• Run recruitment logistics (sourcing, scheduling, interview process, feedback, contracts and onboarding plans)


Communications

• Manage Ovation's day-to-day communications

• Coordinate with external PR, Brand or design agencies where needed

• Maintain simple website CMS


Must-Have (Essential)

• 5+ years' experience in EA, office management, hospitality/front-of-house, events or customer-facing operational roles

• Genuine interest in theatre and entertainment

• Exceptional organisation, attention to detail and pride

• Proactive, energetic and solutions-oriented, working well with direction but high autonomy

• Excellent written and verbal communication; high standards of presentation and tone

• Comfortable with evening work, travel and regular attendance at the theatre and events

• Strong IT skills with a view to adopt and train in new tools focused on productivity and process improvement


Very Desirable

• Experience in CRM, CMS editing and social scheduling tools

• PR / comms exposure or an eye for design and clear copy

• Experience in recruitment or talent acquisition

• Experience in London or Broadway theatre or creative sectors
